Shades Interiors LLC is hiring experienced and talented Admin Executive and Event Coordinator in Dubai. The ideal candidate will ensure smooth office functioning, manage records, assist various departments, and handle communication and coordination tasks efficiently. You will be responsible for managing logistics, liaising with vendors and ensuring each event runs smoothly from concept to completion.
Responsibilities for Admin Executive and Event Coordinator
- Handle day to day administrative tasks including filing, data entry and document management.
- Manage office supplies, inventory and vendor relationships.
- Assist with scheduling meetings, travel arrangements, and calendar management.
- Maintain and update internal databases and records.
- Support HR and finance teams with administrative needs.
- Handle correspondence, emails, and phone calls in a professional manner.
- Ensure compliance with company policies and procedures.
- Coordinate internal communication and assist with staff onboarding.
- Plan and coordinate events including conferences, exhibitions, workshops and community events.
- Manage event budgets, timelines and logistics.
- Liaise with vendors, sponsors and stakeholders to ensure smooth execution.
- Handle event promotion, registrations and guest communications.
- Oversee event setup, on-site operations and post-event breakdown.
- Resolve any issues or problems that arise during events.
- Prepare event reports, feedback summaries, and performance evaluations.
Requirements for Admin Executive and Event Coordinator
- Bachelor’s degree in Business Administration or related field.
- Minimum 2 years of experience in an administrative role.
- Proficient in MS Office.
- Excellent written and verbal communication skills
